What is a supplier Q&A log?
A supplier Q&A log is a structured record that captures all questions submitted by vendors during an RFP, RFQ, or RFI process, along with the official answers provided by the buying organisation. Each question is anonymised before distribution so all bidders receive identical information without knowing which competitor asked what.
A well-maintained Q&A log is one of the most important procedural documents in a competitive sourcing event. Without it, vendor questions and answers scatter across emails, calls, and meetings - creating information asymmetry, compliance risk, and a gap in the audit record that auditors will flag.

Anonymised Vendor Codes
Each vendor is assigned a reference code (Vendor A, Vendor B) in the log. Competitors cannot identify who asked what when the log is distributed.

Category and Theme Tags

Set a hard clarification deadline upfront
Publish the clarification close date in the RFP itself. Late questions handled outside the log create compliance risk and unfair information asymmetry.

Anonymise before distributing

Route answers through an approval step

How to use the Supplier Q&A Log

Set up the log before the RFP goes out
Download the template and fill in the header fields - RFP name, clarification deadline, answer deadline, and submission close date. Set up the vendor code mapping privately (Vendor A = Company X) so you can anonymise incoming questions quickly.
Collect questions during the clarification window
As vendor questions arrive by email or portal, add each to the log immediately with a question number, date received, and anonymised vendor code. Route all incoming questions to one person to prevent duplicate logging.
Anonymise and categorise all questions
Before drafting answers, remove all identifying information and assign a category tag. Group duplicate questions - you will often find several vendors asked the same thing in different words. Draft one answer for each unique question.
Draft and approve answers
After the clarification deadline closes, draft official answers. Route commercial and legal questions through the relevant internal stakeholder for approval. Mark each answer as Approved in the status column before it goes out.

Export the completed, approved log to PDF and send to all registered bidders at the same time. Record the distribution date and the list of recipients in the log header. Never send to bidders in batches.
