What this template covers
Most vendor onboarding fails not because the relationship is wrong, but because the handover from procurement to the business team is informal. Tasks get assumed rather than assigned. Compliance documents get collected weeks late. The vendor shows up for kickoff before they have system access.
This checklist structures onboarding across five stages from contract signature through go-live. Each stage has its own tab with tasks, an assigned owner column, a due date, and a sign-off field. The completed checklist is your evidence that the vendor was properly set up before SLA monitoring started.
The template works for most third-party vendor relationships - professional services, SaaS, logistics, facilities management, and others. Mark tasks as N/A where they do not apply rather than leaving them blank.
Once onboarding is complete, ongoing purchasing moves into source-to-pay - purchase orders, invoicing, and payment.

Owner and Due Date Columns
Every task has an assigned owner and target date. Accountability is set before onboarding starts, not during it when delays are already happening.
Compliance Tasks Built In
System access, insurance collection, DPA confirmation, and security questionnaires are included in Stage 2 so nothing is missed at the compliance gate.
Sign-Off Fields
Each stage closes with a formal sign-off field. A completed onboarding record with named approvals is your evidence that the process ran properly.
Pilot Stage Included
Most onboarding checklists skip from kickoff straight to go-live. The pilot stage is where most onboarding failures are caught early before SLAs start.
Go-Live Confirmation
The final stage confirms all tasks are complete, SLA monitoring is active, and the onboarding record is filed. A clear close-out, not an ambiguous handover.

Stage 01
Contract and Handover
- Confirm countersigned contract received and filed
- Distribute contract summary to internal stakeholders
- Assign internal project owner and vendor relationship manager
- Brief internal team on scope, timeline, and commercial terms
- Confirm vendor invoicing and payment process with finance
Stage 02
System Setup and Compliance
- Complete vendor registration in ERP or procurement system
- Issue system access credentials or NDA where required
- Collect and file compliance documents (insurance, certifications, DPA)
- Complete information security questionnaire if applicable
- Confirm data handling and subprocessor arrangements with legal
Stage 03
Kickoff and Introductions
- Schedule and run formal kickoff meeting
- Introduce vendor delivery team to internal project team
- Walkthrough of scope, deliverables, and timeline with both teams
- Agree communication cadence and escalation paths
- Confirm project management tool access and document sharing
Stage 04
Pilot and First Deliverable
- Define pilot scope or first deliverable with clear acceptance criteria
- Complete first deliverable review and sign-off
- Capture feedback from internal stakeholders on vendor performance
- Address any issues before moving to steady-state delivery
- Confirm SLA baseline established for go-live
Stage 05
Go-Live and Performance Tracking
- Confirm all onboarding tasks complete and signed off
- Activate formal SLA and performance monitoring
- Schedule first quarterly business review date
- File completed onboarding record in procurement system
- Notify procurement team that onboarding is complete

How to Use
Six steps to a complete onboarding record
01
Assign an onboarding owner
Name one internal owner for the entire onboarding process before contract signature. Without a single owner, tasks default to whoever is most available, and stages get skipped.

Complete Stage 1 on day one
Contract handover tasks should be completed on the day the agreement is countersigned. Every day of lag between signature and Stage 1 completion adds lag to every subsequent stage.

Do not skip Stage 2 tasks
Compliance setup is the most skipped stage in vendor onboarding. Data processing agreements, insurance certificates, and security questionnaires take time to collect - start them in parallel with Stage 1.

Run a real kickoff meeting
A kickoff email is not a kickoff. Stage 3 requires a live meeting with both teams present, scope confirmed, and escalation paths agreed. Document what was discussed and circulate notes.

Insist on a pilot before go-live
A defined first deliverable with acceptance criteria (Stage 4) is not optional for high-value or complex vendor relationships. It is the point where structural problems are cheapest to fix.

File the completed record
A completed onboarding checklist with sign-offs in each stage is your evidence that the vendor was properly set up. File it in your procurement system alongside the contract and award memo.
Common mistake
Treating onboarding as the vendor's responsibility. The vendor will set up their side. What fails is the internal side: procurement-to-business-team handover, system registration, compliance document collection, and internal briefing. All five stages have internal owners. Assign them before the contract is signed.
